Terms & Conditions of Hire
These terms apply to all transport services booked directly with Terra ProLuxe Travel. They form part of your contract with us alongside your written quotation and booking confirmation, which record the specific details of your journey.

1. Definitions
- "We", "us", "the Operator" — MOVE4WORLD LTD trading as Terra ProLuxe Travel, company number 11937497.
- "You", "the Customer" — the person or organisation named on the quotation or booking confirmation.
- "Quotation" — the written price and scope we issue for a specific journey.
- "Booking Confirmation" — the written document confirming an accepted booking and its itinerary.
- "Journey" — the transport service described in the Booking Confirmation.
- "Vehicle" — the vehicle category confirmed for the Journey.
2. Quotations and validity
Quotations are prepared individually for the itinerary supplied. Prices shown on the website are guide rates and are not an offer to contract.
Unless the quotation states otherwise it is valid for 14 days and is subject to vehicle availability at the time of acceptance. Quotations for dates affected by major events may carry a shorter validity, which is stated on the quotation.
A quotation is based on the passenger numbers, luggage, addresses, timings and waiting arrangements you gave us. If those change, the price may change.
3. Booking acceptance
A contract is formed when you accept the quotation in writing (including by accepting it through the secure quotation link) and we issue a Booking Confirmation. We may decline a booking, and where a booking is declined any payment made is refunded in full.
4. Minimum hire
Minimum hire conditions vary by service. Fixed-price transfers have no minimum duration. Hourly and as-directed hire carries a minimum period which is stated on your quotation for that service. There is no universal minimum applied to every booking.
5. Payment
Payments are taken by secure card payment through Stripe, by payment link, or by bank transfer where agreed. We do not receive or store full card details.
Unless your quotation or account terms say otherwise, private bookings are payable in full before travel.
6. Deposits and balances
Where a deposit is required it is stated on the quotation, together with the date the balance falls due. Failure to pay the balance by the stated date may result in the booking being released; deposits are non-refundable except as set out in the cancellation section.
7. VAT
Prices are quoted in pounds sterling. The VAT treatment applicable to your booking is shown on your quotation and invoice.
8. Airport charges, parking and tolls
Your quotation states which charges are included. Where they are not included, the following are recharged at cost:
- airport drop-off and pick-up charges;
- car park charges for meet-and-greet collections beyond the included period;
- event and venue parking;
- tolls, ferries and Eurotunnel crossings not included in the quotation.
Standard ULEZ and Congestion Charge for the quoted route are included unless the quotation states otherwise.
9. Waiting time
Included waiting is stated on your quotation. As a general standard we allow 15 minutes at a non-airport collection point and 45 minutes after landing for a meet-and-greet airport collection.
Waiting beyond the included period is charged in 15-minute increments at the applicable hourly rate for the Vehicle, plus any additional parking incurred. We cannot promise unlimited waiting, as chauffeur hours and subsequent bookings are affected.
10. Flight delays and monitoring
Where you supply a flight number we monitor the flight and adjust the collection time where operationally possible. Substantial delays, diversions or overnight disruption may make the original vehicle or chauffeur unavailable; in that case we will offer the earliest practical alternative or a refund of amounts paid for the affected leg.
11. Passenger delays and no-shows
If passengers are not at the collection point once the included waiting time has expired and we cannot make contact, the chauffeur may be released and the journey treated as a no-show, charged in full. Please call the number on your Booking Confirmation if you are running late — we will hold where we can.
12. Cancellations by you
Unless your quotation states different terms for the service booked:
- more than 7 days before collection — full refund less any non-recoverable third-party costs;
- 48 hours to 7 days — 50% of the total charge;
- less than 48 hours — 100% of the total charge;
- multi-day, international and event bookings carry the specific terms stated on that quotation.
Cancellations must be made in writing to bookings@terraproluxe.co.uk.
13. Cancellations by us and replacement vehicles
If we cannot operate a confirmed Journey we will tell you as soon as we know, and will either supply an alternative vehicle of equivalent or higher specification, arrange the Journey with a licensed partner operator with your agreement, or refund all amounts paid for the affected Journey.
14. Amendments and additional stops
Amendments requested before travel are accommodated where possible and may change the price. Additional stops, extended itineraries or route changes requested on the day are charged at the applicable hourly rate plus any additional costs incurred, and may be declined where they would breach driver-hours rules or conflict with a following booking.
15. Passenger conduct
Passengers must wear seat belts, follow the chauffeur's reasonable safety instructions, and behave in a way that does not endanger or unreasonably disturb others. The chauffeur may end a Journey where conduct is unsafe, abusive or illegal; no refund is due in that case.
16. Alcohol, smoking and vaping
Smoking and vaping are prohibited in all vehicles by law. Alcohol may not be consumed on board unless expressly agreed in writing in advance, and never where the vehicle is operated under conditions prohibiting it.
17. Cleaning and damage
Where a vehicle requires cleaning beyond normal valeting following a Journey, a cleaning charge of up to £250 applies, reflecting the cleaning cost and lost availability. Damage caused by passengers is recharged at the cost of repair plus any lost hire while the vehicle is off the road. We will provide evidence and an itemised cost for any such charge.
18. Luggage
Luggage capacity depends on passenger numbers and item sizes. Please declare large suitcases, cabin bags, golf bags, instruments, sports and specialist equipment when booking so the correct vehicle is allocated. We may decline items that cannot be carried safely or that exceed the declared capacity. Luggage is carried at owner's risk; passengers should not leave valuables unattended.
19. Prohibited items
Illegal substances, weapons, flammable or hazardous materials and live animals (other than assistance dogs, which are welcome and should be declared at booking) may not be carried.
20. Child seats and accessibility
Please tell us the ages of any children at the time of booking so appropriate arrangements can be made. Our vehicles are not wheelchair accessible; passengers must be able to board with reasonable assistance. Tell us about mobility or accessibility requirements before booking so we can confirm whether we can carry you safely.
21. Breakdowns and driver hours
In the event of a breakdown we will arrange a replacement vehicle as quickly as practicable. Journeys are planned around legally required driving-hours and rest rules; where a schedule cannot be operated within those rules we will propose a compliant alternative, which may include a second chauffeur or an overnight stop at additional cost.
22. Weather and events outside our control
We are not liable for failure or delay caused by events beyond our reasonable control, including severe weather, road closures, accidents, industrial action, civil emergency or government restriction. We will always seek a practical alternative and will refund amounts paid for any part of the Journey not delivered.
23. Multi-day, accommodation and international travel
Multi-day bookings may require chauffeur accommodation and subsistence, which is itemised on the quotation. International journeys are quoted individually and include crossing costs, foreign tolls and rest requirements. International travel is only accepted where it can be operated in full compliance with the applicable licensing and driving-hours rules.
24. Business accounts and invoicing
Credit facilities are subject to approval and are not automatic. Approved accounts are invoiced on the terms confirmed in writing when the account is opened. Purchase-order or billing references supplied by you are shown on the invoice. Overdue invoices may attract interest and reasonable recovery costs under the Late Payment of Commercial Debts (Interest) Act 1998, and account facilities may be suspended.
25. Gift vouchers
Voucher terms, including validity period, redemption and transferability, are set out on the vouchers page and on the voucher itself. Vouchers are not exchangeable for cash.
26. Complaints
Complaints are handled under our published complaints policy, which sets out acknowledgement and response timescales and how to escalate.
27. Liability
We operate under PSV Operator Licence PK 2048012, issued by the Traffic Commissioner for London and the South East of England, and hold comprehensive motor, public liability and employers' liability insurance.
Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, for fraud, or for any liability that cannot be excluded by law. Subject to that, our liability for any single booking is limited to the total charge for that booking, and we are not liable for indirect or consequential loss such as missed flights, missed events or lost profits, save where caused by our negligence.
28. Data protection
Personal data is handled in accordance with our Privacy Policy.
29. Governing law
These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction. Nothing here affects the statutory rights of a consumer.
