Privacy Policy

This policy explains what personal data Terra ProLuxe Travel collects when you enquire, request a quotation, make a booking or open a business account, how that data is used and shared, how long it is kept, and the rights you have over it.

1. Who we are

Terra ProLuxe Travel is a trading name of MOVE4WORLD LTD, registered in England & Wales, company number 11937497. Registered office: 2 Lynwood Close, Harrow, Middlesex, HA2 9PR.

MOVE4WORLD LTD is the data controller for the personal data described in this policy.

2. Personal data we collect

Enquiry and quotation data:

  • name, email address and mobile number;
  • company name and role, where you enquire on behalf of a business;
  • collection and destination addresses, additional stops, dates and times;
  • passenger numbers, luggage details and vehicle preference;
  • free-text notes and special requirements you choose to give us.

Booking data:

  • lead passenger and, where you provide them, other passenger names;
  • flight numbers, terminals and airline where the journey involves an airport;
  • itinerary, waiting arrangements and on-the-day contact number;
  • booking reference, quotation history and communications with us.

Business account data:

  • company legal and trading name, Companies House number;
  • registered and billing addresses;
  • booking, finance and account contact details;
  • purchase-order and billing-reference requirements, requested payment terms.

Payment data: payments are processed by Stripe. We receive the payment status, amount, reference and the last four digits and card brand. We never receive or store full card numbers.

Technical data: IP address, pages visited, referring page, approximate location derived from IP, browser and device type.

We do not deliberately collect special-category data. If you tell us about a medical, mobility or accessibility requirement so we can carry you safely, we use it only to plan and deliver that journey.

3. Why we use it and our lawful bases

  • To respond to enquiries and prepare quotations — steps taken at your request prior to entering a contract.
  • To deliver and manage a booking — performance of our contract with you.
  • To take payment, issue invoices and recover sums due — contract and legitimate interests.
  • To keep accounting, tax and operator-licensing records — legal obligation.
  • To keep the site secure, prevent fraud and abuse, and understand how the site is used — legitimate interests, and consent where cookies or similar technologies require it.
  • To send service messages (acknowledgement, quotation, booking confirmation, journey information, receipt, review request) — contract and legitimate interests.
  • To send marketing — consent, which you can withdraw at any time using the unsubscribe link in any marketing email.

4. Who we share data with

We do not sell personal data. We do share it with service providers who process it on our instructions:

  • Hosting and database — our website hosting and database platform stores enquiry, quotation and booking records.
  • Stripe Payments Europe / Stripe Inc. — card payments, payment links and refunds.
  • Email delivery — our transactional email provider sends acknowledgements, quotations, confirmations and receipts.
  • Mapping and distance services — used to estimate route distance and duration for pricing.
  • Analytics — used, where you consent, to measure site usage and conversion.
  • WhatsApp (Meta) — only if you choose to contact us via WhatsApp; that conversation is subject to Meta's own terms.
  • Professional advisers — accountants, insurers and legal advisers where necessary.
  • Authorities — where we are legally required to disclose, including to the Traffic Commissioner, DVSA, police or HMRC.

Where a journey cannot be operated on our own vehicle and is fulfilled by a licensed partner operator, we share only the information needed to carry out that journey, and we tell you before the journey takes place.

5. International transfers

Some providers process data outside the UK. Where they do, transfers are made under UK adequacy regulations or the International Data Transfer Agreement / UK Addendum to the EU Standard Contractual Clauses, with appropriate additional safeguards.

6. How long we keep it

  • Enquiries that do not become bookings — 24 months from the last contact.
  • Booking and quotation records — 6 years after the end of the tax year in which the journey took place, to meet accounting and tax obligations.
  • Business account records — for the life of the account plus 6 years.
  • Payment records — as required for accounting; card data is retained only by Stripe.
  • Marketing consent records — until you withdraw consent, plus a suppression record so we do not contact you again.
  • Website logs and analytics — up to 14 months.

7. Cookies and similar technologies

We use essential cookies and storage to operate the site and remember your consent choices, and analytics or marketing technologies only where you have consented. See the Cookie Policy for the full detail and to change your choices at any time.

8. Security

The site is served over HTTPS. Booking and quotation records are held in an access-controlled database with row-level security, administrative access is restricted to authorised staff accounts, and customer-facing quotation and payment links use non-guessable tokens rather than sequential references. No system is perfectly secure, but we take reasonable technical and organisational measures appropriate to the data we hold.

9. Your rights

Under UK GDPR you have the right to:

  • be informed about how your data is used;
  • request a copy of the data we hold about you;
  • have inaccurate data corrected;
  • request erasure, where we have no continuing legal or contractual need;
  • restrict or object to processing based on legitimate interests;
  • data portability, where processing is by consent or contract and automated;
  • withdraw consent at any time, without affecting earlier processing.

Email office@terraproluxe.co.uk to exercise any of these. We respond within one month; if a request is complex we will tell you and may extend by two further months.

10. Complaints

If you are unhappy with how we have handled your data, contact us first at office@terraproluxe.co.uk so we can put it right. You also have the right to complain to the Information Commissioner's Office (ico.org.uk, 0303 123 1113). Service complaints are handled under our complaints policy.

11. Changes to this policy

We update this policy when our processing changes. The date at the top shows the current version. Material changes affecting existing customers will be notified by email where appropriate.
